      <title>A Clean Inbox for 2011: Archiving</title>

        <p>Clean desks, clean rooms and a clean inbox. It’s just easier to think when everything is neat and organised.  Here are our tips to ring in the new year with a clean inbox.</p>
 <h4>Outlook with Zimbra Outlook Connector</h4>
<p>
For users with Microsoft Outlook  Backing up your mail is easy - simply export / archive the PST and store a copy somewhere or define an auto archive rule.  Make sure all folders are selected.
</p>
<h4>For Mac Users using Apple Mail</h4>
<p>You can define a “Smart MailBox” and set the interval to be anything you like, a week, a month or in this case a year and then archive this. With that said, Apple’s implementation of Smart MailBoxes is actually pretty poor.

Despite offering you an option to search "Sent", nothing shows up on such a filter condition.
Apple’s mail.app does have an option to include sent items, but we’ve rarely seen it working in practice. With Apple mail you need to explicitly select the folder to search or archive. So this means to you need to run the search twice, one for inbox and all sub folders and a second time for the sent folder and any peer folders that exist. There is no “Select folders" option.

<p>Although the process above is a bit cumbersome, I do love spotlights ability to index messages. So after creating a smart mailbox, I then archive the smart mailbox. This process in Mail.app does not delete the messages during the archive process which is a good thing. Test the archive first!
I always load the archive back into mail.app to ensure that it works. Be sure to import the messages as Apple Mail.
Once you have confirmed that archive is good, you can choose to delete all the messages in the smart mailbox. These messages will then be deleted from your primary online account.
</p>

<h4>For Zimbra Users: Online and Offline with Zimbra Desktop (Mac/Windows/Linux)</h4>

<p>Within Zimbra you have a lot more granular control over searches and can export multiple folders and types of data - like your contacts, calendars and tasks in addition to mail. 
A Zimbra advantage is that you can do a search of both your Inbox and Sent or any other folders. And their search filters filters just rock:

<p>Unfortunately Zimbra does not allow you to export a file on a filter condition in the way Apple mail does.  However with Zimbra Desktop you can select the filter and Shift+Click the check box on the results to drag the results of this filter down to your local folders.</p>

<p>You can export a TGZ (unix archive) of your data for import back into Zimbra. This can be done from the webclient or through Zimbra Desktop directly.
In either case - we strongly recommend you store a copy of Zimbra Desktop application with your archive.
Because Zimbra stores messages in eml format, they can be easily imported into any email client.

      <title>New Year &#45; Clean InBox, with InBoxZero</title>

        <p>Somethings are best done in the spring, while others are best done at the beginning of the new year.  A clean inbox is a great way to start the year off right.  We have recently completed testing of the new InBox Zero zimlet and are very impressed with it's capabilities.  The new Zimlet is available to any one to use on the webclient.</p> <p>If it is not enabled for your profile, simply send us an email or give us a call and we'll ensure you have access to this wonderful timesaver.</p>
<br />
<p><strong>Use with Zimbra Desktop!</strong></p>
<p>You can even install the zimlet on Zimbra Desktop.  It requires version 2.0.1 or higher.  To install simply download for the <a href="http://gallery.zimbra.com/">Zimbra gallery</a> and then from Zimbra Desktop preferences, navigate to Zimlets and upload the Zimlet.  To our Apple Mac clients - please ensure the zimlet is downloaded as a zip file, eg: "zimbra_inboxzero.zip" and not as a folder.  (This will often happen to Safari users with the "Open safe files after downloading" option in Safari.   If this happens, do not zip the file up again on Mac as the compress utility will inject specific Mac meta data into the file.  Instead please disable the safe open option in Safari preferences or use an alternate browser to download the file.</p>

<li>Outlook’s “Propose New Time” functionality works in ZCO. When using Outlook 2007 or 2010, the Propose New Time feature is enabled, and when a reply to a Calendar invite proposes a new time, the proposed new time is sent to the originator and the requested time displays in the message header. <li>ZCO. New email addresses can be added to the Address Book Contacts list when a message is sent from ZCO. (Bug 10770) Note: This fix no longer works because of Bug 47890 in 6.0.8.
</li>ZCO end user documentation is now available from Outlook. Click the link called “Click here for ZCO documentation.” (Bug 11990)
<li>When creating an appointment in Calendar, the begin and end times are now selected from a drop-down menu. (Bug 20344)

<li>Drag and Drop files to compose tab for email messages is supported in versions of Firefox 3.6 or later, Chrome, and Safari 4 browsers, without the need for extensions/addons. When using Firefox 3.6 + browser, you can drag and drop files to your Briefcase folders, as well. If you are using Firefox 3.5 or earlier, you need the plug-in available from the Zimbra Gallery, <a href="http://gallery.zimbra.com/type/extra/zimbra-drag-and-drop-firefox-xpi">http://gallery.zimbra.com/type/extra/zimbra-drag-and-drop-firefox-xpi</a> Known issues: DND does not work with Internet Explorer. <li>The Radio field in the Outlook Contacts list now syncs with ZWC address book. The Radio field is added as a new field in the Other section of the contacts form.(Bug 27905)

<li>Calendaring and scheduling .ics files received with an email message can now be added to one of your Calendars directly from the mail message. An Add to Calendar link displays when this type of file is received. (Bug 27959)

<li>When uploading a file that is too large, an error displays, “Unable to upload attachment. Attachment size is too big.” This error displays in Firefox 3.6+, Safari 4+, and Chrome 5.x. (Bug 36776)

<li>Additional data outputs for CLI zmdiaglog. For Linux: ps auxww and netstat -anp. For Max OSx: psauxww and netstat-an. (Bug 42747)

<li>“Show Original” is available for Tasks and Calendar items. (Bug 44185)

<li>New user preference, Don’t show contact group if one of its members matches can be enabled. When autocomplete is used to enter user addresses, the contact groups that the user might be part of do not display in the auto-complete list. (Bug 44509)

<li>A new COS attribute, zimbraPrefCalendarApptAllowAtendeeEdit, can be set to FALSE to disable the ability for attendee to edit an appointment sent to them. The default is TRUE. Attendees can edit appointments in their Calendars. Now, when an attendee tries to edit an appointment, a warning displays reminding the attendee that the edits are only made to their appointments. If the organizer makes changes to the appointment, these changes overwrite the attendee’s edits. (Bug 44885)

<li>Migration Wizard for Exchange enhancements: One step migration. The migration tool now provides an option to browse for a migration XML file and then migrate as per the options in the selected XML file. (Bug 45307)

<li>When running the migration wizard, a zimbra migration account and the MAPI profile are automatically created in AD. Once the migration is completed, the account and profile are deleted. (Bug 45012)

<li>A new shortcut key, Shift ! (exclamation), display appointments that are overdue or will start in 1 hour or less from the current time. (Bug 45208)

<li>ZCO. Folders can now be shared with internal users when using the External GAL with ZCO. (Bug 45381)

VMWare and Zimbra are a smart fit. VMWare has assured Zimbra’s community, customers and partners that they are 100% committed to Zimbra’s mission.</p><p>Yahoo! was a great partner to Zimbra in that they didn’t get too involved, but provided the necessary financial backing to allow Zimbra to grow, and grow it has: In just five years, Zimbra has grown to become one of the largest email and collaboration providers in the world with Microsoft and IBM, totalling more than 55 million paid mailboxes at over 150 thousand organisations worldwide – that’s upwards of 80% year-over-year growth. </p><p>Given that Yahoo! eventually decided to divest itself of noncore businesses, the decision to sell Zimbra was expected and VMware is a brilliant choice. Yahoo!’s consumer mail continues to benefit from Zimbra technologies while Zimbra benefits from the strength and enhanced integration into VMWare’s vSphere cloud. Zimbra products were designed from the ground up with virtualisation and the cloud in mind, with a modular architecture and APIs to allow distributed access to data and storage.       <title>Zimbra Clients Runing on Snow Leopard</title>

        <p>Last week Apple released Snow Leopard.&nbsp; We&#8217;ve now had a few days to evaluate it.&nbsp; (Ok three. We got ours delivered the day it was available.)&nbsp; We won&#8217;t detail all the new features in the OS as there are plenty of reviews on Snow Leopard.&nbsp; Of interest specifically to our clients however is Zimbra and its compatibility with Snow Leopard.&nbsp; We&#8217;re pleased to say that thus far we haven&#8217;t seen any major show stoppers.</p>

 <h4>Zimbra Sync Services for OS-X:</h4><p>
The Zimbra plugin for OS-X Sync services as you might expect is 32 bit.&nbsp; So in the new Snow Leopard system preferences pane, when you try to access it you will be presented with a friendly dialog asking you to reload in 32 bit:</p>

Other than that the plugin seems to work fine.</p>

<h4>Zimbra Desktop (Mac)</h4>

<p>This one was interesting.&nbsp; We have only had the chance to confirm this on a single mac - but after the upgrade Zimbra Desktop wouldn&#8217;t load, yielding a non-descript javascript error.&nbsp; We ended up reinstalling it and worked fine.</p>

<p>*Update* Zimbra 1.0.3 has been released which resolves this issues.

We wanted to alert you to the fact that we're changing hosting providers. We wanted to take a moment to explain who we're moving to and why.
<br /><br />
As many of you know we currently run our platform on <a href="http://www.rackspace.co.uk" title="Rackspace">Rackspace</a> managed hosting. When we selected Rackspace our focus was to find a hosting provider that delivered not just excellent performance and support but also proactive server management. That is to say a provider that works with you to ensure your hosting is always at its best. This is a service we find to be lacking in a number of hosting providers.  I'd like to say there are only a handful in the same league as Rackspace but even that might be too generous.  There are very few alternatives to Rackspace. When a company feels that they are in a league of their own the danger is complacency.<br /><br /> So we took the decision to find an alternative hosting provider in the UK that matched Rackspace’s service level but also could deliver the necessary value we needed to accommodate our growth.

<a href="http://www.ukfast.co.uk" title="UKFast">UKFast</a> also has the fastest network in the UK, so we believe that our collective needs will be best served by placing our hosting with them. We intend to switch services over in the next two weeks.  Nothing needs to be done on your end. You can continue with your services as you have today.  We will make all the necessary changes on our end during a 3 hr maintenance window.  We have scheduled this change to take place in the early hours of Wednesday morning on the 12th of August / (Late Tuesday evening).
